ADMINISTRATIVE SERVICES
Standard Services Provided
• All clerical services including and not limited to preparation of notices, correspondence to owners, related professionals, service providers, etc.
• Maintain and track through computer software enforcement of association policies, violations, ADR Hearing Procedures, fining, compliance dates, etc.
• Prepare MONTHLY MANAGEMENT REPORTS inclusive of an Agenda, all correspondence, minutes, sales activity, maintenance service requests, etc.
• Prepare monthly Newsletters.
• Prepare all related documents in accordance provisions of the master deed and by-laws to properly conduct the annual meeting / election process.
• Review as required association governing documents to ensure compliance with operating practices to advise the board of required procedures.
• Attend Monthly Board Meetings to report on association business affairs and prepare minutes.
• Maintain a professional relationship with association legal counsel and assist in all legal matters, including and not limited to court appearances, depositions, expert testimony, etc.
• Maintain Association financial records and make available to board members, accountants, etc. information as requested.
• Prepare bid specifications for services and provide professional recommendations.
• Review and procure all insurance coverage including and not limited to Property, General Liability, Directors & Officers, Umbrella Coverage, Worker’s Comp, DIC, etc.
• Process and coordinate all claims parallel to the insurance agent and underwriter.
• Provide 24/7 Emergency Services.

FINANCIAL SERVICES
Standard Services Provided
• Collect on behalf of the Association, all common charges, assessments, special charges, late fees, etc. which are due on a time sensitive basis. All funds are deposited daily into the Association’s account.
• Maintain a history of all charges & payments for as many years as desired.
• Print delinquency status reports on demand.
• Take action as required pursuant to governing documents on behalf of the Association for collection of outstanding balances and send custom notices and letters to delinquent owners.
• Process all invoices for services provided in connection with contractual obligations and services ordered through our maintenance service request tracking program. Invoices are matched to work orders, checked for accuracy and discounts applied. Maintain a full history of bills and payments for each vendor for all activity for any period of time.
• Prepare monthly bank reconciliation reports.
• Prepare for Board distribution monthly financial statements including but not limited to a balance sheet, income and expense statement detailing month to month and year to date variances, detailed disbursements, detailed accounts payable report, detailed delinquency report, reserve fund statements and full general ledger.
• Assist the Associations auditors with the preparation of annual audits, tax returns, etc.
• Preparation of various regulatory and governmental reports and forms as required.
• Review current replacement reserve amounts and provide recommendations for funding requirements.
• Prepare the Association’s annual budget.

PROPERTY MAINTENANCE SERVICES
Standard Services Provided
• Assist and maintain a professional relationship with owners for all maintenance concerns and process their requests based on association criteria.
• Coordinate all service-related issues with respective maintenance service partners with use of computerized “maintenance request orders” that will track all aspects of the request.
• Provide MONTHLY MAINTENANCE SERVICE reports reflecting activity for the month, year or any period of time requested with respective costs.
• Subject to Board approval, we shall interview, hire and manage all association maintenance personnel and coordinate all service-related issues with such employee(s) or subcontractors.
• Serve as a conduit between the association and service providers monitoring their performance, approving work and recommendation for payment approvals.
• Maintain up to date certificates of insurance for all service providers and automatically notify contractors for submission of new certificates as they expire.
• Procure a minimum of at least three (3) bids in excess of a predetermined amount set by the client by use of established bid procedures.
• Prepare bid specification documents for all projects. Analyze all bid proposals and provide recommendations to the board.
• Negotiate on behalf of the client all contracts and services including and not limited to landscaping, snow plowing, exterminating, refuse, roofing, etc.
• Provide inspection and supervision of work to ensure conformance with bid specification documents.
• Prepare monthly “Helpful Hints” for distribution to the community.
• Provide 24/7 Emergency Services.
